Terms and Conditions
By enrolling your child at V.I.P’s Children’s Club, you agree to the following terms and conditions. Please read carefully before signing your child up.
Attendance and Responsibility

I consent for my child to attend V.I.P’s Children’s Club and understand that the club has policies and procedures in place, which are available for reference.

V.I.P’s Children’s Club is a play setting and is legally responsible for my child whilst they are in attendance.

Once my child arrives at V.I.P’s Children’s Club, they will remain in the club’s care until collected and signed out by an authorised person.

I will notify the club if I am collecting my child directly from school on a day they are booked to attend.

The club closes at 6:00pm. A late collection charge of £5.00 per 15 minutes applies after this time. After 6:30pm, if no contact is made, the Uncollected Children Policy will be followed.

Food and Allergies

A snack and drink will be provided during sessions unless otherwise requested.

No outside food may be brought into the club due to the risk of allergies for other children.

Fees, Payment and Cancellations

All booked sessions must be paid for, even if my child does not attend (e.g. due to illness or holidays), unless alternative arrangements have been agreed with the manager.

Sessions will not be billed if the school is closed due to bad weather or government closure.

Fees are due within 7 days of the invoice date.

A late payment fee of £25 will be added if invoices are not paid within 7 days, unless a prior agreement has been made with the manager.

Cancellations:

For regular bookings, a minimum of 4 weeks’ written notice is required if I wish to cancel or change my child’s booking.

For ad hoc bookings, a minimum of 72 hours’ notice is required to cancel without charge.

If the required notice is not given, the booked session(s) will still be charged in full.

Independent Business

V.I.P’s Children’s Club is an independent business, run by a sole trader. The school does not notify us if your child is absent. Parents/carers must inform the club directly of absences.

Health, Safety, and Conduct

It is my responsibility to keep the club informed of any changes to my child’s information (e.g. contact details, medical needs).

I understand that messy play may take place and can provide suitable clothing if I wish.

If my child has an accident, they will be treated by a qualified first aider and I will be informed. In emergencies, staff may consent to medical treatment on my behalf.

Information about my child will be treated as confidential, except where there is a legal duty to share information (e.g. child protection concerns).

Aggressive or abusive behaviour towards staff will not be tolerated.

Parents and carers must not use cameras, mobile phones, or recording devices on club premises.

Behaviour and Exclusion

I have read and understood the club’s Behaviour Management Policy. I accept that in some circumstances it may be necessary to exclude my child from the club. Fees for missed sessions will still apply unless agreed otherwise with the manager.

By enrolling, you confirm that you have read, understood, and agree to abide by these terms and conditions.
