Safeguarding & Club Policies
V.I.P’s Children’s Club operates in accordance with its policies and procedures, which are designed to safeguard children and support their health, safety and wellbeing. Parents/carers are expected to familiarise themselves with the policies relevant to their child’s care. Key policies and procedures are available from the club and will also be available on our website.

By enrolling your child at V.I.P’s Children’s Club, you agree to the following terms and conditions. Please read carefully before signing your child up.
Attendance and Responsibility

I consent for my child to attend V.I.P’s Children’s Club and understand that the club has policies and procedures in place, which are available for reference.

V.I.P’s Children’s Club is a play setting and is legally responsible for my child whilst they are in attendance.

Once my child arrives at V.I.P’s Children’s Club, they will remain in the club’s care until collected and signed out by an authorised person.

I will notify the club if I am collecting my child directly from school on a day they are booked to attend.

The club closes at 6:00pm. A late collection charge of £7.00 per 15 minutes applies after this time. After 6:30pm, if no contact is made, the Uncollected Children Policy will be followed.
Food and Allergies

Breakfast and/or snacks, food and drinks will be provided as appropriate to the session.
• Parents/carers must inform V.I.P’s Children’s Club of any allergies, intolerances or dietary requirements and keep this information up to date.
• Suitable alternatives will be provided for children with recorded dietary requirements wherever required.
• Food must not be brought into the club from home, except where specifically agreed with the manager.
Current Session Fees
Breakfast Club: £5.00 per child, per session
After School Club: £17.00 per child, per session
Fees apply during our normal term-time opening.

Fees, Payment and Cancellations

All booked sessions must be paid for, even if my child does not attend (e.g. due to illness or holidays), unless alternative arrangements have been agreed with the manager.

Sessions will not be billed if the school is closed due to bad weather or government closure.

• Invoices are issued on the last school day of each month and payment is due within 10 days of the invoice date.
• A late payment fee of £10 will be added if payment is not received within 10 days, unless a prior arrangement has been agreed with the manager.
• Where fees remain outstanding for two months, no further bookings will be accepted until the outstanding balance has been cleared.. -
Cancellations:

For permanent/regular bookings, a minimum of 4 weeks’ written notice is required to cancel or permanently change a child’s booking.
○ For ad-hoc bookings, a minimum of 48 hours’ notice is required to cancel without charge.
○ Where the required notice is not given, the booked session(s) will still be charged in full.

Absence & Communication

V.I.P’s Children’s Club operates independently from the school. Parents/carers must notify the club directly if their child will not be attending a booked session, as the school may not inform us of a child’s absence.
Health, Safety, and Conduct
If my child has an accident or becomes unwell, they will be cared for by an appropriately trained member of staff and I will be informed as appropriate. In an emergency, V.I.P’s Children’s Club will seek appropriate emergency medical assistance and make every reasonable effort to contact a parent/carer or emergency contact.

It is my responsibility to keep the club informed of any changes to my child’s information (e.g. contact details, medical needs).

I understand that messy play may take place and can provide suitable clothing if I wish.

Information about my child will be treated as confidential, except where there is a legal duty to share information (e.g. child protection concerns).

Aggressive or abusive behaviour towards staff will not be tolerated.

Parents and carers must not use cameras, mobile phones, or recording devices on club premises.

Behaviour and Exclusion

Children are expected to behave in a way that supports the safety and wellbeing of other children and staff. V.I.P’s Children’s Club will manage behaviour in accordance with its Behaviour Management Policy.
• Where behaviour presents a significant or persistent risk to the safety or wellbeing of the child, other children or staff, the club may take further action, which may include suspension or termination of the child’s place. Parents/carers will be involved in this process wherever appropriate. -
